A useful RFQ gives the supplier enough technical and commercial information to understand what is being requested without forcing the buyer to know every answer in advance.
Start with identification
If a manufacturer and part number are available, copy them exactly and photograph the markings. For older equipment, include the machine manufacturer, model and any manual or invoice reference that may connect the component to the assembly.
If no part number exists, describe what the component does and where it is installed. That context can prevent a search from drifting toward visually similar but technically unrelated products.
Add dimensions and specification
Dimensions should be measured with enough precision for the part. For bearings, bore, outside diameter and width are common starting points. For fasteners, diameter, thread, length and head style matter. For cables, define exactly what length is being measured and show both end fittings.
When a drawing or governing standard exists, upload it instead of paraphrasing critical technical requirements.
State quantity and timing
A quote for one maintenance replacement is a different commercial request from a repeat requirement for hundreds of units. Include total quantity, desired quantity breaks and the real required-by date.
Use photos strategically
Photograph the entire part, all markings, mounting interfaces and any damaged or worn areas separately. Include a scale only as a visual aid; measured dimensions are more reliable than estimating size from a photograph.
Do not crop out the equipment context when it may help identify where the component belongs.
Separate facts from assumptions
If a material, grade or rating is unknown, say that it is unknown rather than guessing. A clear unknown is easier to resolve than an incorrect assumption embedded in the RFQ.
